Terms of Use & Privacy / Usage-Monitoring Notice
AtlasONE is an enterprise Safe Patient Handling & Mobility (SPHM) platform operated by Atlas Mobility ("Atlas," "we," "us"). These terms govern access to and use of the AtlasONE web application and related services (the "Platform"). By creating an account or using the Platform, you agree to these Terms of Use and acknowledge the Privacy & Usage-Monitoring Notice below.
1. Acceptance & who these terms cover
The Platform is provided to healthcare organizations ("your Organization") and made available to their authorized workforce members and invitees ("you"). Where your Organization has a separate master services agreement, business associate agreement, or data processing agreement with Atlas, that agreement governs and controls over any conflicting statement here. In the privacy relationship, your Organization is the controller of its data and Atlas acts as its service provider/processor.
2. Accounts & acceptable use
You are responsible for maintaining the confidentiality of your credentials and for activity under your account. You agree to use the Platform only for its intended clinical, administrative, and program-management purposes, and not to: (a) attempt to access data or facilities you are not authorized to access; (b) probe, scan, or circumvent security or access controls; (c) disrupt or degrade the service; (d) upload unlawful content or content you lack the right to provide; or (e) use the Platform in violation of applicable law or your Organization's policies. We may suspend access to protect the Platform, its users, or their data.
3. Usage data & system monitoring
AtlasONE is an enterprise system, and access to and activity within it are logged and monitored. To operate the Platform securely and reliably, we automatically collect usage data (also called telemetry or product-analytics data), including:
- authentication and session events (sign-in, sign-out, session start/end, and access times);
- pages and features accessed, tools opened, and actions taken within the interface;
- navigation paths, time spent on pages, and interface interactions such as clicks and scroll depth;
- files or reports downloaded or exported;
- errors and performance measurements needed to diagnose and improve reliability;
- device and connection characteristics (device type, operating system, browser, screen and viewport size, language, and network type);
- approximate location and time zone, derived from network information — this is coarse (regional) and is not precise geolocation.
Interface interactions are recorded as element descriptors and durations only. The usage tracker does not capture the values you type into fields or free-text you enter.
4. How & why we use usage data
We process usage data for the following legitimate operational and security purposes, and to perform the service for your Organization:
- Security & abuse prevention — protecting accounts and data, detecting and investigating unauthorized access, fraud, or misuse, and maintaining system integrity;
- Monitoring & auditing — maintaining access and activity logs to support your Organization's oversight, audit, and compliance obligations;
- Reliability & support — diagnosing errors, monitoring performance, and providing technical support;
- Improvement of the service — understanding how the Platform is used, in aggregate, to improve features, usability, and value.
The legal basis for this processing is our and your Organization's legitimate interests in securing, operating, and improving the Platform, and the performance of the contract under which the Platform is provided. This usage data is a standard part of operating the service and is applied for the betterment, security, and reliability of the system for all users.
Patient information is out of scope for usage monitoring. Usage/monitoring data does not include protected health information (PHI) or the clinical data you enter into the tools. Any PHI you place in the Platform is handled separately under your Organization's agreement with Atlas (including any Business Associate Agreement) and in accordance with HIPAA and applicable law — it is not used for product analytics.
5. Retention
Usage/telemetry data is retained for a limited period — generally up to 180 days — and then deleted or aggregated into non-identifying summaries, except where a longer period is required for security investigation, legal obligation, or your Organization's audit needs. Account records are retained for the life of the account and as required thereafter.
6. Security
Access to raw usage records and analytics is restricted to authorized Atlas Mobility personnel on a need-to-know basis. Data is transmitted over encrypted connections, access is authenticated and role-restricted, and administrative interfaces are gated to authorized internal roles. No system is perfectly secure, but we maintain administrative, technical, and organizational safeguards appropriate to the data.
7. Sharing & no sale of data
We do not sell your personal information or usage data, and we do not share it for cross-context behavioral advertising. We share it only with service providers who process it on our behalf under contract, with your Organization, or where required by law or to protect rights, safety, and the integrity of the Platform.
8. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, or restrict the use of your personal information, and to appeal a decision about a request. For California residents, the California Consumer Privacy Act, as amended by the CPRA, provides rights to know, delete, and correct personal information and to limit its use, and a right not to be discriminated against for exercising them — noting again that we do not sell or share personal information for advertising. Many usage records are workforce/enterprise data controlled by your Organization; requests concerning that data may be directed to your Organization or to us, and we will assist as its service provider. To exercise a right, contact us using the details below.
9. Changes & contact
We may update these terms and this notice from time to time; material changes will be reflected by the "Last updated" date above and, where appropriate, communicated to your Organization. Continued use after an update constitutes acceptance of the revised terms.
